As our Customer Service & Order Processing Specialist, you'll serve as the communication hub between customers, vendors, and our production team, helping ensure orders are accurate, information flows smoothly, and customers receive exceptional service from start to finish.

What You'll Do
Customer Service & Communication
- Serve as the primary point of contact for incoming customer phone calls and shared business email communications.
- Provide friendly, professional, and timely customer service.
- Answer customer questions or route inquiries to the appropriate department.
- Communicate approved information regarding orders, products, services, and company processes.
- Coordinate customer requests, documentation, and account updates with internal departments.
- Escalate issues requiring management review or approval while ensuring customers remain informed throughout the process.
Order Processing & Data Management
- Learn ERP system with high volume data entry for customers and vendors.
- Review customer purchase orders for accuracy, completeness, and required information.
- Process incoming purchase orders through Our EPR system-MIE Trak- and convert them into Sales Orders.
- Identify missing or incorrect information and communicate with customers to obtain corrections.
- Organize electronic and physical records in accordance with company procedures.
- Escalate order questions requiring interpretation, approval, or additional review.
Vendor Coordination
- Communicate with vendors regarding purchase orders, documentation, and operational needs.
- Process vendor purchase orders and supporting documentation.
- Maintain accurate vendor records and contact information.
- Follow up with vendors to obtain missing information or resolve routine discrepancies.
- Escalate purchasing, pricing, scheduling, or supplier issues requiring management approval.
Administrative & Operational Support
- Support workflow coordination between customers, vendors, and the production team.
- Ensure information is routed quickly and accurately to the appropriate department.
- Assist with office administration, departmental projects, spreadsheets, and database maintenance.
- Help onboard and organize records for new customers and vendors.
- Maintain confidentiality of customer, vendor, employee, and company information.
- Follow established company procedures while working collaboratively with all departments.
What We're Looking For
We're looking for someone who is:

- Comfortable managing multiple priorities in a fast-paced environment.
- An effective communicator, both verbally and in writing.
- Proficient with computers and willing to learn new software systems.
- Dependable, self-motivated, and able to work independently while supporting a team.
Previous experience in customer service, order processing, office administration, purchasing, inside sales, or administrative support is preferred but not required. We provide training for motivated individuals who are eager to learn and grow.

8:00 AM – 4:30 PM
